a) Responsibilities and duties include follow-up with third parties for pro-forma disbursements,
b) Querying items contained in pro-formas and final disbursements and quality control of processed accounts.
c) The service assists the principal in the overall process of agency appointment, pro-forma checking and approval and advance payment through to final DA processing and payment.
d) Each final DA, supplementary DA and supplier invoice is thoroughly checked and verified before being made available for approval to the vessel operator.
e) Ensuring the principals are provided with the data per Service Level Agreement and justifiably verified with appropriate tariff and Charter parties/ World scale, obtaining credit refunds from agents where discrepancies are found via cost item checking.
f) Ensuring the vetting process is complete by seeking clarification on disputed cost heads, direct costs to be billed to charterers and / or headowners .
g) Ensuring that the financial obligation on cash flow of the principal is not incurred at a higher level than intended during the call fixture.
